JVA-SANCTION REQUIREMENTS


JVA SANCTIONED EVENT TEAM REQUIREMENTS PER JVA POLICIES

ROSTER

Any participating adult (meaning any adult sitting on the bench or work station with the team) and athlete must be added to the AES roster specific to the event which is to be signed and turned in at team check-in.

All adults listed on rosters at JVA insured events must complete the JVA Background Screen and APS training form.* JVA does accept AAU screens. If you are an AAU Member with a current and clear background screen, you will not have to complete the JVA background screen form. Note that as of the 2024 season, JVA is NOT accepting USAV screens.

Please, make sure to complete this step early enough to be current for the roster due date as it can take up to two weeks for background screens to be processed. If this is not done in time, unfortunately, we are not able to allow an adult to participate in the event. While we hate to turn people away, we must uphold the policies of the organization sanctioning and insuring our events.

You will not be able to submit rosters for JVA insured events through AES until all adults on rosters have a verified background screen through the above form or through AAU.

APPROPRIATE BACKGROUND SCREEN AND TRAINING

In case there is any confusion, here is a break down for what step to take based on the memberships the individuals of your staff have...

While no specific membership is required, a JVA-verified background screening is required for any adult that will be sitting on the team's bench and/or work area. Any adult on a roster at a JVA Insured Event must have either a JVA or AAU Background Screen.

If the individual is a JVA member and has a current background screening through this current season, they should be all set! If they are not showing up in AES with a JVA-verified background check but are a current JVA member with a cleared screen, contact JVA directly at members@jvavolleyball.org.

If the individual has an AAU membership with a sufficient background screen and has been imported into AES, they should be all set! Note that you will have to do an import from AAU to AES once per season per individual. This does not happen automatically. If the individual does NOT have a current background screen and training through JVA or AAU, they will need a background screening and APS training. Note that background screens can take up to 10 business days. Then it can take an additional 24 business hours for JVA to verify the individual in AES once the background screen is cleared.

As shared by JVA in a 2023 email updating on background screens, "starting this upcoming 2023-2024 season, JVA will no longer be accepting USAV background screens as a valid form of clearance for coaches participating in a JVA event."

PREPARE THE REQUIRED PAPERWORK IN ADVANCE

JVA Insurance Waivers for Players and Staff Everyone participating, staff and athletes, must complete this form. Coaches need to have the ability to access these forms at all times. If your club is a JVA Member, they can be found in the Club Director’s Member profile. If your club is not a JVA Member, the club director will receive emailed copies as the forms are completed.

JVA Coaches Event Sign-In Form for each participating team. This is part of team check-in with every JVA event.

JVA ROSTER REQUIREMENTS

Rosters are to be entered in AES for each event by two Wednesdays prior to the tournament weekend. Each roster should include the following:

(1) Any adult that will be on the team bench and/or work area during the tournament and any participating athlete.

(2) For all adults, “Yes” or other form of confirmation in the column titled “BG Screen. Ver.”

(3) Jersey numbers and birthdays for all participating athletes.

NOTE Plugging in a coach's email address does not ensure that they will receive tournament emails as they must opt-in with whichever email is being used to receive AES emails. Read the section above that goes over ensuring everyone receives the proper emails. COACHES, I would suggest you check with your Club Directors to make sure you are receiving appropriate information. The sooner the better so that no important information is missed.

TEAM CHECK-IN REQUIREMENT

Check-in will be the Saturday of each tournament prior to each team's first match.

An adult club representative of each team must turn in a printed and signed AES roster specific to this event and JVA Event Sign-In Form to the Tournament Director at the team's venue prior to playing.
